Cluain council meeting 12th September 2026
Meeting started at 2.20pm
Present: Ed, Bess, Florence, Gerard, Rudiger, Alyenora, Domenego, Maerwynn, Li Hua (by video call)
Apologies: Nathanael, Melissa, Abi
Rudiger moved to accept previous council meeting minutes. Florence seconded. Passed unanimously
Seneschal (Bess):

Quarterly Report due mid-October so officers need to submit reports at the end of the month
Reeve (Florence):

Balance $11,965.43 at end of August

More Spring Camp booking money has come in since then …$2130 (inc for 1 child) so far

The bond for hiring Eureka Hall should be returned

Dumpling Feast 2026:

Sigi will not be submitting receipts so all due payments have now been made

Event Levies and Membership fees to be paid once attendees are confirmed. $746 gross profit before those payments. Plan: Check if sign-in sheets are on dropbox
Captain of Archers (Deputy, Gerard):

The last archery practice at Hamilton East School was cancelled due to rain. Wording of the archery information on the website is to be altered to make it clear about postponement of practices. The forecast looks okay for it to be run tomorrow.
Armoured Combat Marshal (Li Hua):

Heavy fighter practices have been affected by weather, with some being cancelled

Monthly tournament tomorrow in Ildhafn. Next Cluain monthly tournament may be in December or April

Bess advised that Diego will run a fencing class at Spring Camp
A&S Officer (Ed)

Mistress Rowan is attending Spring Camp and will teach classes on slat bags and patterning hose. Blacksmithing classes, pottery, processing a hide and others will happen at Spring Camp

Ed questioned if he had a warrant and Bess assured him that he was officially A&S Officer
Upcoming events:
Spring Camp
About 40 people booked so far. Their Royal Majesties have confirmed plans to attend. Will advertise for bookings again
A test of the upgraded coffee heating equipment will happen later this afternoon.
Ildhafn Summer Event
20-22 Nov, with rain date 27-29 Nov. No advert has been seen yet.
Canterbury Faire
CF campsite bookings have been opened. Numbers of people planning to camp with Ildhafn are needed ASAP to determine the size of area set aside for the encampment.
