Cluain council meeting 18th July 2026
Meeting started at 2.21pm
Present: Ed, Bess, Florence, Gerrard, Nathanael, Melissa, Li Hua, Rudiger, Alyenora
Apologies: Domenego, Maerwynn, Abi
Bess moved to accept previous council meeting minutes. Netty seconded. Passed unanimously
Reeve (Florence):

Current balance is $11,348.87

St Sebs finances have been completed so event can be closed

Dumpling Feast 2026:

The event made a profit

Chloe’s receipts were less than $20 so she generously said that she will not be seeking reimbursement

Melissa and Nate have been reimbursed for their purchases

Sigi is busy and has not submitted receipts yet

Chloe put through $5 for the Shadbolts to complete their payment

Issue from one person not paying or attending, who has booked for previous events and not attended any yet

Childrens’ bows receipts are still needed for reimbursement to be set up

No receipt yet from Hamilton East School for the koha for using the premises for archery, but school holidays are just finishing
Captain of Archers (Deputy, Gerard):

Had to cancel last month’s archery in Hamilton due to illness. Suggested getting Florence authorised for archery marshal so that it can run if Gerard is unavailable

Will offer a rain check date the following week in August, and make this clear on the Cluain website.

The person providing the manuka bows has been in hospital, so they have not been issued yet. Payment will be made when the bows have been provided

Geoff owns blank combat arrows and would lend them to Cluain for the newcomers day. Gerard plans to arrange this with him
Armoured Combat Marshal (Li Hua):

Rapier on hold. Heavy combat is happening more often than not, with 3-4 participants. Work commitments and weather have been affecting attendance.

Next monthly tournament will be on 9th August in Hamilton. Eureka Hall has been booked for all weather venue. Melissa has advertised this on the website. Max has turned 18 and will hopefully authorise then
Seneschal (Bess):

Ed has applied for A&S Officer

Next Hastilude to be 15/16th August at Braythwayte Manor in Rotorua. Ed will offer x-chair making (although this is more complex and time-consuming than originally anticipated so limited spaces will be available.

Lack of chairs at the Hardy Centre venue was a surprise, luckily overcome, but to be followed up by Melissa in preparation for future events

Saga had been concerned about whether she would be welcome back at SCA events and was relieved that her experience was positive

The Kingdom Chronicler requested more pictures of the stamp used for the bank notes for Pegasus
Spring Camp

Plans are progressing for this happening
Newcomer’s day

Li-hua is looking at holding this on 4th weekend in September, hoping for reasonable weather for outdoor activities. She will submit a bid
