Cluain council meeting 20th June 2026

Meeting started at 2.25pm

Present: Ed, Bess, Florence, Gerrard, Nathanael, Melissa, Alyenora, Rudiger, Li Hua

Apologies: Sithech, Domenego, Maerwynn

Bess moved to accept previous council meeting minutes. Li Hua seconded. Passed unanimously

Reeve (Florence):

  • Current balance is $11,158.37

  • $769 of this is for the Dumpling Feast

  • Children’s’ bows payment needs to come out - pending receipts

  • Need to check if final refund for St Sebs has been paid yet

  • Koha has been paid to Hamilton East for archery

Captain of Archers (Deputy, Gerard):

  • Two longbows ordered, but haven’t arrived yet. No update on delivery date yet.

Gerard will follow up on this.

  • Two events in Hamilton so far, and haven’t had more than Gerard and Florence yet attending. Plan to try through to the end of the calendar year. Map of location is now posted on the website.

  • Could offer a rain check date the following week during winter, and make this clear on the Cluain website.

Armoured Combat Marshal (Li Hua):

  • Heavy fighter practice has been cancelled occasionally due to poor weather.

  • Next monthly tournament will be on 9th August in Hamilton. Eureka Hall to be 

  • booked for all weather venue.

  •  Seneschal (Bess): 

    • No applicants for Chatelaine or A&S officer roles yet. Looking for expressions of interest

    • Sherwater had banners at Coronation that Magnus had designed. He has also designed a Cluain one. A request for FAT funding for banners is being put together by groups around the Crescent Isles. Discussion around potential purchase of banners for Cluain. 1.5m x 2m was thought to be the most useful size for the halls that we tend to use for events. Decision: request 2 Cluain in portrait format and 2 Lochac (minus crown)


    Upcoming events:

    Dumpling Feast

    • 46 bookings, including 4 vegetarians and 1 gluten-free

    • Will add a question about how people found out about the event

    • Need medium serving bowls and lots of plates

    Spring Camp

    • Bookings and payments are coming through

    • Abi and Maerwynn are working on the menu for one dinner

    Newcomer’s day

    • Li-hua looking at holding this on 1st or 4th weekend in September at Hardy Centre

    • Could look at using blunt arrows for archery there

    Melissa followed up with Hamilton Canvas about importing canvas (no can do). Rudiger followed up with William re investigating importing RhinoTuff from Australia but no progress there yet. Florence followed-up with Backstreet Bargains and found that they need an order for 1000m.

    Nate to ask Duncan’s Canvas if they would order RhinoTuff canvas.

    Profit from St Sebastians to be spent on quality archery equipment
