Cluain Council Minutes: 18/04/2026

Meeting started 2:17pm

Melissa moved to accept previous council meeting minutes with one correction - action table was reviewed, but a "not reviewed" comment was carried over from the previous minutes. Ed seconded. Passed unanimously. Change made to previous minutes.

Officer reports:

Reeve (Florence):

  • Report for this financial year has been entered. We opened with $9,746.16, closed with $11,416.54. Xero has made this report much easier than in years gone by
  • There's now a place on SCANZ to do the Domesday report data entry.
  • SCANZ should theoretically have a register of assets owened by Cluain. Need to review and update accordingly.
  • Ingoings and outgoings for St Sebastians have happened, but need to check about refunds - may need details for one person

Armoured Combat Marshal (Li-Hua):

  • Rapier has been on pause - two regular attendees, but one has had assignments
  • Heavy has been happening when it's not raining, but it has been raining for last 3 weeks! May consider alternate venues if the rain keeps up over a longer period
  • Li-Hua is Cluain's firs authorised rapier fighter
  • Had a tournament at St Sebs and two monthly tournaments.
  • May be another call for helmet checks - checking padding for helmets due to a recent incident at Rowany Festival

Captain of Archers (Gerrard as Deputy on behalf of Sitheach):

  • This month's archery practice was cancelled due to the cyclone
  • Looked at bows at Easter Camp - horse bows weren't available. Got some advice on bowyers to use in NZ
  • There is a guy making manuka wood bows for $210 each. There is a guy on Facebook who is also making bows, and has offered to do custom work from oak or manuka/kanuka. $350-400 plus shipping
  • Have bought two kids bows and 5 dozen arrows with the fletching in specified colours (green & white and black and white)
  • Backstop for archery

Seneschal (Bess): 

  • Reports all sorted
  • E-mail may still be going to Nathanael

Upcoming events:

Dumpling Feast

  • Event bid in. Booked Hardy Hall for 27 June. Event page and booking form all sorted.
  • Hardy Centre; capped at 50 people
  • Tokens are currently in the naughty corner
  • Pork belly purchased

Spring Camp

  • Rose has volunteered to cook one of the dinners
  • Abby has volunteered to cook another dinner, but will need a mentor - to be arranged

Dance event being planned in Whangarei by Hereby, weekend before Coronation

General Business

  • Need boffer swords. Rudiger to cost up some lengths and present a costing to the council.
  • Potential for Laurel elevation at St Sebastians, but may need to provide some funding for the royals to come over. Airfaires likely to be $2,500. Ed proposes to fund the royal's airfaire up to $1000 if required. Bess seconds. Passed unanimously.

15 Mar 25 - Quotes recieved for USD11-13/yd for 60” wide fabric. Melissa followed up with Hamilton Canvas about impoting canvas (no can do), investigate importing RhinoTuff from Australia 
Jun 25 - RhinoTuff Australia difficult to contact, can't import from there
Feb 26 - William de Wyke has got some RhinoTuff imported from India. Minimum order $25,000, final price about $25/m landed. William is checking if a Wellington sailmaker might consider importing it instead. Mar 26 - Florence will consider contacting Backstreet Bargains / Duncan's Canvas to make similar enquiries.
