Cluain Council Minutes: 21/03/2026

Meeting started 2:08pm 

Present: Ed, Bess, Florence, Gerrard, Nathaniel, Melissa, Li-Hua

Melissa moved to accept previous council meeting minutes. Nathanael seconded. Passed unanimously.

Officer reports:

Reeve (Florence):

  • All money has come in from St Sebastians; only money to go out still is for portaloos
  • Current balance is $11,416.54

•Domesday report soon, on track

Armoured Combat Marshal (Li-Hua):

  • Sigfried is now registered; up to 10
  • Need access to registry still, working on getting it from Dominego – e-mails still going to him

Seneschal (Bess): 

  • Bess is now Seneschal – handover at St Sebastians
  • Meeting of all Seneschals on this coming Sunday
  • Needs to be given moderator approval for e-mail lists

Captain of Archers (Gerrard as Deputy on behalf of Sitheach):

  • Easter is the first Sunday of the month – will change it to the 12th to avoid the holiday
  • Melissa to change on website; find out why Geoff’s practice has disappeared from the page
  • Gerrard needs to be added to the Council e-mail list, Melissa to action
  • Bows
    • Kids bows 10-15 lb bow
    • Adult bows 20-35 lb bows; $150 from Luan in Darton, possibly a mix of horse bows and longbows
  • Ed proposes that the profit from St Sebastians ($1,200) be spent on quality, period appropriate archery equipment.  Li-Hua seconds. Passed unanimously.

St Sebastians

  • Report written – profit of $1200
  • Event ran pretty smoothly – new procedures with washing up folks, chainmail scrubbies and takeaway containers helped dishes get done before dark
  • Refunds – Bess motions to refund these people, Nathanael seconds, passed unanimously:
    • Someone’s son was ill and couldn’t attend 
    • Someone had a concussion and couldn't attend

Upcoming events:

Dumpling Feast

  • Melissa and Li-Hua plan to run a feast on 27 June
  • Hardy Centre; capped at 50 people
  • Event bid submitted last night – but didn’t show up on the listserv! Will check why it didn’t go through.

Waldorf Medieval Faire

  • 6 members in attendence

  • Melissa and Chloe plan to run a feast in June or July

  • Huge interest in children's boffer - need to repair boffer swords

Dance event being planned in Whangarei by Hereby, weekend before Coronation

General Business

  • Rudiger is building boffer swords - Li-Hua to have an intervention to get him to file reciepts

  • Several members went through Gold Key, got new garb, put some on Free Table at St Sebastians
  • Went through Eleanor Cottage and got rid of some surplus items from there - labelled all the boxes

15 Mar 25 - Quotes recieved for USD11-13/yd for 60” wide fabric. Melissa followed up with Hamilton Canvas about impoting canvas (no can do), investigate importing RhinoTuff from Australia 
Jun 25 - RhinoTuff Australia difficult to contact, can't import from there
Feb 26 - William de Wyke has got some RhinoTuff imported from India. Minimum order $25,000, final price about $25/m landed. William is checking if a Wellington sailmaker might consider importing it instead. Florence will consider contacting Backstreet Bargains / Duncan's Canvas to make similar enquiries
