Cluain Council Minutes Date: 15/11/2025

November 15th 2025

Meeting opened 2:27pm

Present: Ed, Bess, Florence, Sithech, Nathanael, Melissa

Nathanael moved to accept previous 2x council meeting minutes. Bess seconds. Passed unanimously

Reeve (Florence):

• Current balance is $9137.54
• Everything has gone out for Spring Camp except for Kingdom Levies and Event fees. $600-something profit on the event

Captain of Archers (Sithech):

• Have a practice location! Hamilton East School. Won't cost rental fee, but they would like a koha. The site has toilets!
• Flat field with banks on three sides
• Thinking 4th Sunday of the month 1pm - 3pm so won't conflict with the practice in Kihikihi
• Kieth would like to make the archery targets; Trudie has passed through instructions on how to make them. Need to determine how much it will cost the group
• Will need pigs ear standards and a rope with flags for health & safety; can use spool of twine we purchased for rope making. TBD if we have standards already. If not, will prepare costing
• Kieth is TAM, Trudie to train Sithech, but want to put a call out for people to get training
• Roger has some loaner bows. Sithech to follow up
• Melissa motions to spend up to $350 on arrows with white/green/black fletching. Ed seconds. Passed unanimously

Armoured Combat Marshal (Li-Hua):

• Armoured combat running weekly, at a free venue in Hillcrest occasionally from 6-8 (when it's raining). Covered astroturf. Will need to discuss with Roger when he gets back (end of November)
• Having practices when it's raining is helping with peoples fitness and to get newbies learning
• Did interview with journalism student from Wintec who will publish in Waikato Independent; they are interested in having a demo from Cluain at a Waikato Independent open day in December (date TBD). Would need authorised marshal. Will share photos and videos they took for the group to use as promotional material.
• Rapier; considering doing a workshop date in January/February now that new armour rules have been published. Elenor Hall willing to assist.
• Last Baronial tournament held in Ildhafn. Duke Alaric from Terra Rosa cleaned house. Three-way tie for second.

 Seneschal (Nathanael): 

• Will advertise position in late december

St Sebastians

• Royal event. Breakeven set at 90, expect 100+ people with Royals attending
• Having stewards, will also want a day steward. Free entry for stewards, royals, half price for 2x bakers, half price for feast cook.
• Charging $100 per entry
• At Spring Camp, undercharged substantially for self-catering folks - didn't pay for their portion of portaloos and firewood
• Will cater for vegetarian, GF, dairy free only.
• Viking reign, will try to do viking-themed food etc
• Ed motions to accept the event bid, Nathanael seconds. Passed unanimously.

General Buisness

• Rope purchased and delivered to Braythwayte manor
• Next Hastilude will be 28 February
• Li-Hua will ask about date for Hamilton Gardens
• Waldorf medieval faire is on rain date for St Sebs, may give a miss.
• Picnic for Florence/Sithech/Abi's birthday Bremwith Park 13th December. Picnic lunch potluck
• Pasta workshop on 20 December
