Cluain Council Minutes Date: 18/03/2023

Meeting started at 19:01

Present: Rudiger, Alyenora, Ed, Bess, Melissa, Nathanael, Dominego, Maerwyn, Florence, Aethelred

Reeves (Bess/Aethelred): working on St Sebs. Possibly 6 reimbursements for people who were unwell, flooding, or traveling with people who were ill. One cancellation due to work issues at the last minute.

Rudiger forwards that natural disasters and illness related cancellations be reimbursed

Payment has (finally) been set up for Mordenvale

Haven’t been able to finalise Coronation due to pending payment from SCANZ

  • Dominego: This would be an internal SCANZ transaction. Suggests to mark it as done for reporting purposes, and mark it as an outstanding payment
  • Sue: will this complicate things later?

  • Dominego: will have discussion offline

Reimbursement for coffee house to be approved up on account

Reimbursement for Braythwaytes ditto

Marshall: Rudiger says we have an applicant!

A&S: Has Nate submitted an application?

Webwright:

Made Have-a-Go day booking form and web notification update in advance of last week’s outreach

Been doing a few updates on new website – other groups report that Wordpress doesn’t have booking form functionality, many use third-party services e.g. Google Forms

  • Maerwyn: report that Cluain’s calendar on website not working
  • Melissa to investigate

Seneschal:

Events above $5000 now need to go through Lochac to be approved, and box needs to be ticked saying that it is over $5000 otherwise the insurance won’t kick in. Will mostly affect events at Braythwayte Manor. Will need to do the Lochac reporting for all official events.

Demo at Waldorf Medieval Carnival next week (Sun 26 March). Probably an 8am start.

Rudiger’s term as seneschal ends in October, need to advertise for replacement

  • Emrys purchased equipment, has not returned reciepts for group yet

For April/May hastilude may do some canvas assembly as a group
