need to advertise officer roles again - Reeve, Herald, Marshal, A&S

need to fill Reeve and 1 other role

need a deputy senschal with a view too take over role next year

Coronation:

Feast & meal plan came in under budget - waiting for re-imbursement of remainder of advance

Wendy was not able to attend due to COVID - move to refund

proposed Sue, seconded Roger, passed unanimously

2 members reported having tested positive after the event, 1 on Monday, 1 on Wednesday

Seneschal to follow up

Mordenvale lost all there Baronial gear in the bush fires, there has been previous discussion about some sort of support

motion to donate $500 to mordenvale relief fund

Propsed Melissa, seconded Sue, passed unanimously

St Sebs 2023 proposed for last weekend of February, event bid to be submitted to council email list

Demos for 2023

Hamilton Gardens Medieval faire SUNDAY, 12 MARCH 2023

Warldorf carnival SUNDAY, 26 MARCH 2023

Proposed New Comers event as a followup to the above demos, Discusion about location and timing

Netty to follow up and provide info for a bid

Proposed expenditure

Awnings for Cluain to provide cover between the Kitchen and the washing up area at Rotorua venue -

Dave to supply measurments to sort out costing

New beam to allow the coffee house and the existing group awnings to be linked ( layout used at Coronation & CF) gives a more open social area

follow up needed

New Tables and bench seats, Dave to provide cost estimate (expected around $100 per set)

Motion to approve costs for tables and benches up to $600

Proposed Dave, seconded Liz, passed unanimously

General discussion around how much we should aim to retain in the bank account 

should be sufficient to cover event costs if an event is washed out entirely
