Minutes of the previous meeting were approved by Roger and Ed as correct.

Matters arising from previous meeting

The Westpac form was signed by Roger and Netty for Ed to be upgraded to an Authoriser for the Cluain account.

 Labour Weekend

  • An event report was written but the pigeon messenger seems to have lost it before leaving Braythwayte Manor. Ed to e-mail the report to the council members.

 St John’s 2016

  • Has been finalised.

  

Officer’s Reports:

Marshall – Roger

  • Roger has one loan kit for newcomers. Duncan has the boffer gear helmets.

Reeve – Roger

  • The current balance is $3044.75, with the kingdom levies for Labour Weekend outstanding.

Herald – Alex

Nothing to report.

Seneschal – Ed

  • To ask David Robb to change the e-list addresses to reflect new officer positions.
  • Now on CoS (College of Senescals )mailing list.

A&S - Liz

  • Liz asked to be added to the A&S mailing list, but this is understandably being delayed by the Kingdom A&S Officer being on honeymoon.
  • Keeping an eye out for the Crown A&S competition for July, which should be announced in December.  

Webwright- Ed

  • Nothing to report.

Chatelaine - Sue

  • Joel Londt is a 15 year old who lives in Otorohanga and has contacted Roger about combat following a Facebook conversation with Netty.
  • Danielle Fenton-Williams lives in Flagstaff with her children Nadean, aged 15, and Camryn, aged 12. They are keen to start being involved with the SCA from the New Year.

Quartermaster

  • Netty is in this role and will finish the list that Trent started to put on the website by contacting Geoff, Liz and Roger to check what club gear they have. (Details of food are not required)

 

Coronation Bid – Sarah and Rob (arrived at this point of the meeting)

  • Council gave 66% discount for use of the Hamilton Gardens site (which otherwise would have cost around $6000 to hire). Payment of the invoice of $1992 was proposed by the stewards and seconded by Ed and approved.
  • Liz can get photographers from the camera club to take reasonably professional photos.
  • An outline of the schedule was presented.
  • Oil lamps, candles and heavy fighting are allowed indoors if needed (and we may have access to gym flooring to protect the venue’s floor). Archery can’t be done at the Gardens. The Hardy Centre next door might be used for archery and marae style accommodation.
  • Help will be needed with decorations including portable standard banner poles for a progressive court around the Gardens.

  • Accommodation options need to be organised ASAP so they can be put on the booking form, which is to be ready by January.  Sarah & Rob to investigate venues and let Roger know by 17th December.
  • Netty is to add Sarah & Rob to the Cluain council e-mail list so that business can be discussed by e-mail as required.

 

Further business

  • Canterbury Faire  - Ildhafn campsite is being organised by the Baron and Baroness
  • Bookings are now being taken for St Sebastien’s
  • Waldorf Medieval Faire is to be the main recruitment drive for 2017. St John’s not to occur in 2017 due to Coronation.
