Cluain Council Meeting 10th September 2016

Minutes of the previous meeting were approved by Roger and Ed as correct.

 

Labour Weekend

  • Ed reported that progress is being made with making the things needed.
  • The food plan is sorted apart from the vital component of how to preserve and store bacon. Ed will contact Master Stefano for advice on this.
  • Ed will send out a reminder soon for people to book for the event.

 

Waldorf Medieval Carnival

  • Netty spoke to Nick Harrison and Geoff and discovered we can decide what to do as a club and let them know. We are welcome to camp for the weekend provided any plastic tents etc are packed away before visitors arrive on the Sunday. We can sell stuff and keep the profit and we can distribute material about Cluain. We need to plan activities for the encampment, such as crafts, music, games. We can also do SCA archery/fighting demo’s.
  • Further thought needs to be given to activities to run. Netty will send an e-mail to the Cluain list to let the group know current plans. We need to check the number of Cluain introductory leaflets left but hopefully will have enough if they are only given to people with an interest in joining the club.

 

(Side note: Netty hasn’t found the receipt for the Cluain business cards yet but was advised she can provide an invoice with her relevant bank statement in order to be reimbursed.)

 

St Sebastian’s 2017

  • Ed reported that the food is in the process of being sorted out and the activities, stewarding and event teams are all sorted already.

 

 

Officer’s Reports:

 

Seneschal – Netty

  • A commentary period was arranged by His Excellency Nicodemus via Mistress Katherina and Ed has been approved for the role.
  • Netty looked at the Fonterra grassroots fund but it didn’t seem appropriate for the group and the timeframe was short so no application was made.  Netty is to e-mail the Cluain list to ask that any information about grant opportunities be made known to the Seneschal.

 

A&S - Ed

  • A&S continues, such as making ladles and linen bags for Labour Weekend. Cheese may be waxed at the next Hastilude.
  • A 2-week open commentary period for Liz to take over the officer role has not yet been arranged, so Ed is to send an e-mail to the Cluain list.

 

Reeve – Roger

  • Ed is still unable to access the on-line banking, so Roger will phone Westpac to try to sort it out.
  • Roger has posted a request for approval of reimbursement for the approved purchase of linen.

 

 

Marshall – Roger

  • No changes.

 

 

 

Webwright- Ed

  • Nothing to report.

 

Chatelaine - Sue

  • Sue recently e-mailed Norm with contact details for Netty for assistance with making garb.
  • Ed informed Sue that someone had left a message on the Cluain Facebook page expressing interest in joining. Sue used Ed’s link to send a reply due to not having access to do this herself. Netty will arrange access to Cluain Facebook messages for Sue.

 

 

  • Further business:

Rob and Sarah have volunteered to steward Mid-winter Coronation 2017. Roger will contact them to find out their current plans.

 

Next meeting:  8th October in Eureka, Hamilton
