Cluain Council Meeting 13th August 2016

Present:               Jeanette Reid (Netty), Liz Brodie, Sue Whitby, Roger Win, Dave Whitby (Ed), Trent Deakin, Keith Mudgway

 

Minutes of the previous meeting were approved by Netty and Trent as correct.

 

St John’s

  • Trent has written an interim report for the Home Fires Sodden event
  • Payments - $7.48 is due as balance for food for Alex and $30 to Ed for pewter. A small profit was achieved partly through reduced costs from the feast.
  • Marianna’s sewing class took most of Sunday morning and was well appreciated.
  • Trent intends to learn to set up indoor entertainments better in case of wet weather at future outdoor-based events.
  • Netty fed back that one of Callum’s friends commented he might come back to an SCA event.

 

(Foot note – it turned out to be just as well that Waingaro was not booked for St John’s this year as they are currently redoing their accommodation and did not advise the group that was booked for this weekend)

 

Labour Weekend

  • Ed presented a bid as e-mailed to the Cluain council list to host a living history event. This was approved by Roger and seconded by Netty.
  • Liz & Rog bought 20m linen from Fabric Warehouse within budget, at $16/m.
  • Maerwynne has put together a comprehensive meal plan.
  • There will be probably be no chores list but everyone is expected to assist with cooking. Participation to be promoted on the event booking form. Netty volunteered to chase up anyone who needs encouraging to do their fair share.

 

St Sebastian’s 2017

  • Ed presented a bid as e-mailed to the Cluain council list for 10-12th March (or 17-19th March if postponed by bad weather). Bid approved by Trent, seconded by Liz.

 

2017 events

  • Waldorf Medieval Carnival is 26th March (same weekend as Balloons Over Waikato)
  • Waikato Show is 7-9th April.

(School holidays are 14-30th April, with Easter the first weekend and ANZAC day Tuesday 25th, then

8th-23rd July)

 

Discussion around the cost of the Waikato Show and the lack of new members from this year, plus proximity of the two public events, led to the conclusion that the focus would be on the Waldorf Carnival for 2017. A follow-up event should be arranged about a month after this and Netty proposed having an open day ending with a feast. Netty will talk with Nick Harrison to seek approval for advertising the presence of the SCA at the Waldorf Carnival.

 

Cluain stuff

  • Liz brought along a steel serving spoon, available in K-mart for 2 for $4.

Proposal: Liz to buy 20 of these spoons to be medievalised.

Proposed by Sue, seconded by Netty.

  • Plastic storage bins are starting to break and are heavy to lift. Liz & Rog had done some investigating, but need to check if the big serving platter fits in the boxes found.

Proposal: Rog & Liz investigate suitable containers to fit the dining /kitchenware contents and buy them for a cost of up to $200.

Officer’s Reports:

 

Marshall – Roger

  • No significant changes to fighter practice.
  • Netty is encouraging a group of orcball students to attend fighter practice.
  • Loaner heavy fighter gear – Cluain has one set and Rog has a set plus enough gear for another set minus the helmet. It would cost approx. $300 for a ready-made helmet. A few options for making/getting helmets were discussed. Rog said that 6 sets of armour would be ideal and Liz suggested seeking community funding. Netty is to check Hamilton Press for potential sources of funding.
  • Rapier – Keith is interested in rapier fighting and Duncan may be too. Netty has the Cluain fencing gear and needs to check what’s there and if any is still with Carol. Trent has a contact for masks for rapier.

 

Reeve – Roger

  • Still no volunteer to replace Roger in the position of Reeve.
  • Most payments for St John’s have been sorted.
  • Online banking is working well generally and changes have been made to try to give Ed access. He’s to try after this meeting.
  • Netty can remain as a signatory for the Cluain account as long as she is an SCA member even if she isn’t an officer.

 

A&S - Ed

  • Nothing to report other than Liz has been provisionally approved as replacement A&S officer. A 2-week open commentary period needs to be arranged by Netty.

 

Webwright- Ed

  • Part of the website was broken but has now been fixed.

 

Chatelaine - Sue

  • Michelle Hommel let Sue know that she’s too busy to attend SCA events, but she knows how to find out about events if she finds time in the future.
  • Norm, who met Sue & Ed at the Waldorf Medieval Carnival, would want garb to take part in SCA events but feels unable to make it. Sue is to encourage him to attend Hastilude or talk to Netty for assistance.
  • Trent mentioned that one of Ethan’s teachers is interested in the SCA but couldn’t make Hastilude. Trent’s nephew is also interested.

 

Herald – (Alex not present)

  • Svartr reported that his name change and registration of device are still pending from before Alex taking on the Herald role.

 

Seneschal – Netty

  • Netty had not received any applications for replacement for the role from the end of 2016 but Ed volunteered at this meeting. Ed is to send an e-mail to Netty to formalise this offer and Netty is to forward it to the B&B, Ildhafn Seneschal and Kingdom Seneschal.
  • Changeover of officers is to occur at Labour Weekend.
  • Netty is to send an e-mail to the Canton of Cluain list re 2017 events and plans.

 

 

  • Further business:

Use of the club awnings for Canterbury Faire were approved as proposed by Liz and seconded by Trent.
