Cluain Council Meeting Minutes January 30^th 2016

Start: 1:30pm

Present: Michelle Deakin, Roger Win, Liz Brodie, Jeanette Reid, Dave Whitby, Alex Allison

St Sebs - Dave

• Communication issues with meal plan cook – Jeanette to follow up
• Bookings and payments coming in at a steady rate
• All else under control

Waikato Show - Jeanette

• Sunday of show same day as Waldolf Carnival
• Jeanette/ Roger to check we can fundraise at show (to do feast raffle)
• Sue to create A4 trifold leaflets based on Ildhafn material – also look into getting them professionally printed. Once finished will email leaflet to council members with PDF & Publisher in case we need to get more copies.
• Roster – Jeanette to send email outline, request volunteers. 2 people on at most times, 3 at busy times.
• Jeanette to sort out layout for stall and ask for items for display. Discussed going for a “medieval room” look and options with that – much better idea.
• Roger and Callum to create video/ slide show with pictures of camps and activities as well as marshall

Newcomer’s Feast – Roger and Liz

• 30^th of April – 3 weeks after show
• Liz cooking with help from Michelle, still discussing meats etc.
• Jeanette will do subtlety.
• Still trying to find a suitable venue and will submit bid/budget once found.
  • To host 50 people will be enough but need somewhere with two ovens but could consider barbecues.
  • Outdoor space would be beneficial as Dave is looking to organise “Have a go” type activities.
  • Roger will contact Hardy Centre at Hamilton Gardens as this might be best venue.
  • Dave to run evening entertainment also

St Johns

No bids received, Jeanette re-advertised a few days ago.

• New awning has arrived
• Hastilude project for this year – group and individual projects to make campsite more period. Hand out given. Discussion about possibilities (food covers and storage), next hastilude we will plan what to make, how and when and work out what materials and resources will be needed.

Webwright - Dave

Issues with front page of website – working on it

Marshall – Roger

• Fighter’s practice has started
• Roger needs to remind Geoff to renew his membership to continue as Archery Marshall
• Youth Combat Facebook page has been created

Reeve – Roger

• NZ Deputy is currently vacant
• Haven’t heard if latest report is acceptable
• Trent is hoping to get progress re bank account – discussed as a sub account of SCANZ that we want to keep our autonomy and can continue to run as we are, especially in regards to setting up signatories, but also getting statements sent to us.
• Money is coming in for St Sebs
